  • Overview

    We are looking for an enthusiastic, self-motivated Studio Coordinator to perform a variety of administrative and clerical tasks. Duties will include providing support to Directors and employees by assisting in daily office needs and managing the general office administrative activities for the studio location.


    • Answer and direct phone calls while welcome and providing support to all visitors 
    • Organize and schedule appointments/travel arrangements
    • Manage catering for client and staff requests
    • Responsible for arranging employee or client events (town halls, tours, client night out, etc.)
    • Write and distribute email, correspondence memos, letters, faxes and forms
    • Submit and reconcile expense reports
    • Order office supplies and maintain supplies inventory by checking stock to determine inventory level; placing and expediting orders for supplies; verifying receipt of supplies
    • Prepare and send invoices, credit memos, and purchase orders
    • Manage studio’s corporate AMEX credit card expenses
    • Complete Corporate expense reports for employees and freelancer reimbursements as needed
    • Follow up with customers until they have confirmed invoices are received and approved for payment


    • 3-5 years Office Assistant/Clerical experience 
    • Working knowledge of office equipment (printers, scanners, etc.)
    • Experience with expense reports- using Concur highly-preferred
    • Proficiency in MS Office and MAC Computers (MS Excel, MS Word and MS PowerPoint, in particular)
    • Excellent time management skills and the ability to prioritize work
    • Attention to detail and strong problem solving skills
    • Excellent written and verbal communication skills
    • Strong organizational skills with the ability to multi-task
