    We are looking for an enthusiastic, self-motivated and responsible Office Manager to perform a variety of administrative and clerical tasks. Duties of the Office Manager include providing support to Directors and employees by assisting in daily office needs and managing the general office administrative activities for the studio location.


    Front Office Responsibilities


    • Answer and direct phone calls
    • Welcome and provide support to all visitors (internal and external)
    • Provide support to Chief Growth Officer and Managing Director
    • Organize and schedule appointments
    • Book conference calls, rooms, taxis, couriers, hotels etc.  
    • Manage catering for client and staff requests
    • Responsible for arranging employee or client events (town halls, tours, client night out, etc.)
    • Write and distribute email, correspondence memos, letters, faxes and forms
    • Book travel arrangements
    • Submit and reconcile expense reports
    • Manage relationships with vendors related to the general operations of the studio, such as phone, electrical, janitorial, water, linens, trash & recycling, messengers, etc.
    • Assist in the preparation of regularly scheduled reports
    • Develop and maintain a filing system
    • Update and maintain office policies and procedures
    • Order office supplies and maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
    • Maintain contact lists Develop and maintain a filing system
    • Update and maintain office policies and procedures
    • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques

    Accounting Responsibilities


    • Prepare and send invoices, credit memos, and purchase orders.
    • Process company receipts and sales invoices
    • Manage Petty cash and maintain receipts for all petty cash purchases. Include weekly petty cash reconciliation report and receipts with weekly FedEx to Corp Accounting.
    • Process travel requests through corporate travel program
    • Manage studio’s corporate credit card expenses with receipts
    • Complete Corporate expense reports for employees and freelancer reimbursements as needed
    • Follow up with customers until they have confirmed invoices are received and approved for payment
    • Submit signed W9 forms and NDA for all new vendors 


    • 5+ years’ Office Assistant/Clerical experience preferred
    • 5+ years’ Accounting experience preferred
    • Previous experience in NetSuite is a plus
    • Knowledge of office management systems and procedures
    • Working knowledge of office equipment (printers, scanners, etc.)
    • Proficiency in MS Office and MAC Computers (MS Excel, MS Word and MS PowerPoint, in particular)
    • Excellent time management skills and the ability to prioritize work
    • Attention to detail and strong problem solving skills
    • Excellent written and verbal communication skills
    • Strong organizational skills with the ability to multi-task
    • Is poised, positive, outgoing, cheerful and has a professional demeanor
